We are seeking a Temporary Administrator with PA Responsibilities to support our client's administrative functions and provide personal assistance to key personnel.

Job Summary:
The Temporary Administrator with PA Responsibilities will play a crucial role in ensuring the smooth operation of administrative tasks and providing personalized support to key individuals within the organization. This role requires a detail-oriented, organized, and proactive individual who can handle a variety of tasks with professionalism and discretion.

Responsibilities:

Administrative Support:

Assist with general administrative tasks, including data entry, document management, and file organization.
Coordinate meetings, appointments, and travel arrangements for senior management.
Prepare and distribute internal communications and reports.

PA Duties:

Provide personalized assistance (PA) to key executives, including calendar management, scheduling meetings, and organizing events.
Handle sensitive and confidential information with the utmost discretion.
Assist with personal tasks, such as coordinating personal appointments, managing personal correspondence, and running errands.

Material Ordering:

Coordinate the procurement of construction materials and supplies.
Place orders with vendors, track delivery schedules, and ensure timely receipt of materials.
Maintain accurate records of orders, invoices, and receipts.

Communication:

Serve as a point of contact for internal and external inquiries, directing them to the appropriate parties.
Liaise with architects and other stakeholders to facilitate effective communication and information sharing.
Project Coordination:

Collaborate with various teams to support project-related tasks, such as compiling project documentation and maintaining project schedules.
Office Management:

Assist in maintaining a clean and organized office environment.
Manage office supplies inventory and place orders when necessary.
Qualifications:

Previous experience in administrative roles or personal assistance (PA) is preferred.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational and time-management skills.
Strong verbal and written communication abilities.
Ability to handle confidential information with discretion.
Detail-oriented and proactive problem solver.
Flexibility to adapt to changing priorities and deadlines.
Knowledge of the construction industry is a plus.
